Refund & Cancellation Policy

Plain and simple: start with a free trial, cancel any time in a couple of taps, and you're only ever billed for the plan you chose. This page explains trials, billing, how to cancel, and when refunds apply. It forms part of our Terms of Service.

1. Free trial
New practices start with a 14-day free trial. You won't be charged during the trial, and you can cancel any time before it ends at no cost. If you don't cancel, your paid subscription begins automatically when the trial ends, at the price shown when you signed up.
2. Billing & renewal
Paid plans are billed in advance through our payment processor, Stripe, on the cycle shown at sign-up (typically monthly). Practice plans are billed per seat. Subscriptions renew automatically at the end of each cycle until you cancel. Receipts are emailed for every charge.
3. How to cancel
You can cancel at any time, whichever way is easiest:
- In the app - open Settings → Subscription (billing) and choose to cancel.
- Billing portal - use the secure Stripe customer portal link from your billing settings to manage or cancel your plan.
- By email - write to support@hjachi.com from the email on your account and we'll take care of it.
4. What happens after you cancel
When you cancel, your plan stays active until the end of the period you've already paid for - you keep full access until then, and you won't be charged again. After that, the subscription ends. You can export your data before or shortly after cancelling; data is then handled in line with our Privacy Policy and your practice's retention obligations.
5. Refunds
Because you can cancel before each renewal and keep access through the period you've paid for, fees are generally non-refundable - except where a refund is required by applicable law, including consumer-protection law in British Columbia and Canada. Those statutory rights are not affected by this policy.
We also review good-faith refund requests - for example an accidental renewal you tell us about promptly, a duplicate charge, or a significant, prolonged outage. Email support@hjachi.com within 30 days of the charge and we'll work it out fairly. Approved refunds are returned to your original payment method via Stripe, usually within 5-10 business days.
6. Failed payments
If a renewal payment fails, we'll retry and let you know so you can update your card. If it stays unpaid after a short grace period, access may be paused until billing is resolved; your data is retained during this time in line with our Privacy Policy.
7. Price changes
If we change subscription pricing, we'll give you notice before it takes effect. Any new price applies from your next billing cycle - never retroactively - and you can cancel before it applies if you'd prefer not to continue.
